Clearbook

Privacy Policy

Effective 14 September 2026 · Last updated 20 September 2026

Clearbook holds your financial life: where you shop, what you earn, what you owe. This policy says exactly where that information goes. The short answer is: nowhere. It describes the app as it actually behaves.

The short version. There is no account and no server. Every transaction, account, budget and rule is stored in a database inside the app on your phone. Nothing is transmitted to us or to anyone else — not your transactions, not totals, not usage statistics, not crash reports. The Android app does not even request permission to use the network. The only copies of your data that ever exist are the ones you make yourself by exporting a backup.

1. Who we are

Clearbook is published by Apex Root Solutions LLC ("we", "us"), a limited liability company organised under the laws of the State of Delaware, with its registered office in Wilmington, New Castle County, Delaware, and its principal place of business in Cedar Hill, Dallas County, Texas. You can reach us at support@apsoluts.com. Because the app sends us nothing, we hold no personal data about you and are not, in practice, processing any; this policy exists so that you can check that claim against what the app does.

2. There is no account and no server

Clearbook has no sign-up, no login, no email address and no profile. We do not know who you are, and we have no record to look you up in. The app makes no network connections. It does not connect to banks or card issuers; the only way statement data enters the app is a CSV file you choose to import.

3. What is stored on your phone

The app keeps one SQLite database in its private storage containing your accounts and opening balances, transactions (date, amount, account, category, merchant, notes, tags), budgets, recurring schedules, merchant-categorisation rules, a record of CSV imports and the column mappings you chose, and your preferences. Nothing else is stored.

On iPhone the database and the app's backup folder are written with iOS complete file protection, so they are unreadable while the phone is locked. On Android the database lives in the app's private data directory. On both platforms the database is included in your device's own backup if you keep one — iCloud or a computer backup on iPhone, the Android device backup to your Google account (and device-to-device transfer) on Android — so a lost phone is not lost data. Those backups are encrypted by Apple or Google, never touched by the app and not readable by us. Backup files you export yourself are not included; they stay wherever you put them.

If you turn on app lock in Settings, the app asks your device to confirm Face ID, Touch ID, fingerprint, face or your passcode before it opens. That check is done entirely by the operating system; the app never sees or stores any biometric data.

4. Backups you make

From Settings you can export a backup: one JSON file with everything the app holds. A copy is saved in a folder you can reach (on iPhone, Files → On My iPhone → Clearbook → Backups; on Android, the app's folder under Android/data), and the share dialog lets you send it anywhere you choose — a computer, a cloud drive, an email. Where you send it is your decision, and whoever you send it to can read it. If you turn on passphrase protection, the file is encrypted on the phone with AES-256-GCM using a key derived from your passphrase; we cannot recover a forgotten passphrase because we never see it or the file.

Before a backup is restored, the app saves a snapshot of the data it is about to replace, in the same folder, so a mistaken restore can be undone.

5. CSV files you import

An imported statement is read on the phone, shown to you row by row, and only the rows you confirm are written to the database. The file itself is not copied or kept. Text in it is treated as data: it is never executed and is shown exactly as text. Files you place in the app's folder are listed so you can import them, and stay there until you remove them.

6. Diagnostics

If something goes wrong you can export a diagnostics report from Settings and send it to us yourself. It contains version numbers, row counts, a database integrity result and the app's last error messages. It never contains amounts, merchants, notes or any other financial data, and the app never sends it on its own.

7. What we do not do

8. Deleting

Settings → Delete all data removes every account, transaction, budget, schedule and rule from the phone immediately; there is no copy anywhere else to remove, apart from backup files you exported, which you delete yourself. Uninstalling the app deletes its database. Backup files in the app's folder are deleted with the app on Android and remain in Files on iPhone until you remove them.

9. Children

Clearbook is a general-purpose tool and is not directed to children under 13. Because there is no account we have no way to identify a user's age; if you believe a child has used the app, deleting the app removes everything it kept.

10. Your rights

Depending on where you live, you may have rights to access, correct, delete or port personal data, to object to or restrict processing, and to complain to a supervisory authority. The honest position is that we hold nothing: every right you have over your data in Clearbook is exercised directly in the app, through export and deletion. If you believe we hold something after all, write to support@apsoluts.com and we will look and tell you plainly.

11. Changes

If this policy changes we will update the date at the top and, for a change that would mean anything leaves your device, say so in the app before it takes effect.
